The Backstory
This year MINI marks its 60th anniversary. To celebrate this milestone, MINI have partnered
with Body & Soul Music and Arts Festival, which this year presents its tenth edition –
making it even more of a reason to celebrate.

The Brief
We’re looking for a creative collaborator to design an installation space which will be
brought to life at Body & Soul, Ireland’s leading creative festival taking place in Ballinlough
Castle, Co. Westmeath during the Summer Solstice, 21 – 23 June 2019.

This design led installation should showcase how to use space creatively, as MINI always
has. The installation will exist by day and night as a meeting place, a communal area to
gather with old friends or meet new ones, a focal point for photographs and as a place
where some talks and discussions will be held.

Festival sites are unique spaces, filled with inquisitive and enthusiastic people looking for
experiences, and this space should appeal to our guests in a visually compelling way. The
space should be architecturally interesting and draw attention from first glance. It should
allow for informal talks and discussions to take place, where up to 2 speakers might be in
conversation in front of a gathered crowd.

About MINI:

MINI was born out of necessity in 1959 due to a global fuel shortage. The brief to create this
new car was simple: Lots of space inside with minimum dimensions outside, seats for four
passengers, impeccable driving characteristics, superior fuel economy and a very
affordable price. In turn, automotive engineer and designer Alec Issigonis created an icon
and 60 years later, MINI is still fundamentally grounded by the notion to use space
creatively.

The Bursary Award

The Installation – Specifics

The installation should work from 360 degrees – there’s no back of house, so the successful
applicant will demonstrate that they have considered the look and use of the space from a
variety of possible approaches.
The space should encapsulate the MINI brand while blending in harmoniously with the Body
& Soul Festival theme. It should take design cues from MINI’s history & heritage and the
essence of the Body & Soul festival, which this year has the theme ‘Ritual’.

Location On Site

The installation will be situated in the area which best suits the winning submission – which may be in the woods, the centre of an arena, an open field etc.. The winning design will allow for the installation to work from 360 degrees with no ‘back of house’, and take into consideration both daytime and nighttime usage.

The piece may have interactive elements, but we encourage proposals that create a visual focal point and hang-out space within a larger area.

Consideration in the layout of the installation must be given to the programme of talks, curated by MINI, which will take place at the installation piece. The structure itself will play host to a talks programme over the weekend, where speakers will need to address a gathered crowd. No more than two speakers will be on this “stage/platform” at any one time.

Safety is the most important aspect of the festival so the structure must be structurally sound and use materials that will withstand the harsh conditions of our outdoor environment (eg. high winds, rain).

Materials, Build & Construction

The winning applicant will oversee the design, planning, fabrication, construction and final installation of the installation and Body & Soul’s Head of Design will liaise directly with winning applicant to monitor the progress and ensure the professional execution of the winning submission. Body & Soul will act as the point of contact for the execution of the piece and the successful applicant will liaise with our team, but the execution and installation rests entirely with the applicant once plans have been signed off by Body & Soul.

Programme

The installation will be the venue for a series of intimate talks and discussions which will be programmed separately. The cost for these talks and any sound amplification for these events does not need to be factored into your proposed budget.

1. THE PROMOTER AND THE COMPETITION

1.1 The Promoter is Body & Soul Event Creations, having its principal office at Fumbally Court, Fumbally Lane, Dublin 8. (the “Promoter”).

1.2 The title of the competition is the MINI and Body & Soul Installation Design Bursary Award.

2. ELIGIBILITY

2.1 The competition is open to applicants (acting in their own personal capacity) who are at least 20 years old (on the date they submit an entry to the competition) and are resident in the Republic of Ireland.

2.2 By entering the competition, you confirm that you are eligible to do so and that you are eligible to claim the prize. The Promoter may require you to provide proof that you are eligible to enter the competition at any time. By entering this competition the entrant will be deemed to have read and understood the following rules and instructions and be bound by them.

2.3 The Promoter will not accept competition entries that are: automatically generated by computer; completed by third parties or in bulk; illegible, have been altered, reconstructed, forged or tampered with; and/or incomplete.

2.4 Entries that are: (a) made on behalf of another person; (b) joint submissions by two or more persons; (c) and/or made by a person in his or her capacity as an employee or officer of another party; are not allowed and will be rejected by the Promoter.

3. HOW TO ENTER

3.1 Entries must be submitted via completion of the below form by the closing date specified in paragraph 4.1 of these terms and conditions.

3.2 An entry form (in the form specified by the Promoter and made available on the Promoter’s website) must also be completed by you and submitted by you alongside each design entry. Without prejudice to paragraph 8.3 of these terms and conditions, each form entry signed by you will contain an acknowledgement that your entry is: (a) exclusively your own work and does not comprise or incorporate any copyright or other intellectual property rights owned by any other person; (b) is not defamatory or immoral; and (c) does not infringe any third party rights and/or any agreements to which you are a party.

3.3 Entries must be submitted with required supporting documentation as stated on the Promoter’s website.

3.4 Receipt of entries will be acknowledged through an automated return email and all entry information will be retained by the Promoter.

3.5 Neither the Promoter nor any of its employees, agents or representatives will be responsible for the non-receipt and/or non-inclusion of entries in the competition as a result of being lost, late, illegible, incomplete, invalid, or because of technical failures or otherwise, including such failure which is within the control of the Promoter or its employees, agents or representatives.

3.6 The winner will be required to confirm in writing that they have read, understood, and complied with the terms and conditions of this prize draw, and may be required to provide proof of eligibility (including, but not limited to, proof of identity, proof of age and/or proof of residency), as necessary. The proof of eligibility that will be considered suitable for verification is at the Promoter’s discretion.

3.7 The Promoter reserves the right to cancel, alter and/or amend the competition at any stage if deemed necessary in its own opinion and entirely at its own discretion, or if any circumstances arise outside of the Promoter’s control.

3.8 Competition entries cannot be returned by the Promoter.

3.9 There is no limit on the number of entries an individual can submit.

3.10 There is no purchase necessary by you to enter the competition and there is no charge for submitting an entry.

4. WINNER SELECTION

4.1 One winner will be selected from all eligible entries received by the closing date on 22nd April.

4.2 The competition entries will be judged by a panel of at least three judges. The decision of the panel of judges (acting reasonably) will be final. Entries will be judged on the submission’s creativity and innovation, creative use of space, feasibility within a festival context, adherence to health and safety requirements and the marrying of both MINI and Body & Soul’s brands.

4.3 By entering the competition, entrants confirm that they have read and agree to be bound by these terms and conditions, and by the decisions of the Promoter, which are final in all matters relating to the competition. Any breach of these terms and conditions will result in the forfeiture of the prize. No correspondence will be entered into.

4.4 The winning entry may be subject to minor alterations or adjustments by the Promoter or its agents, including, but not limited to, in order to ensure practicality of use.

4.5 The winner must be available to meet with the Promoter’s representatives once notified and confirm that the proposal is feasible for construction as outlined.

5. PRIZES

5.1 Only one (1) winner will receive the prize. The prize comprises: A €10,000 bursary from MINI to design, construct, install and deconstruct a temporary installation site at Body & Soul Music and Arts Festival 2019, to include all fees, material costs, construction costs, travel costs, per-diems and miscellaneous costs incurred by the winner (inclusive of VAT).

5.2 The prize will be as stated in paragraph 5.1 above and is non-transferable. No cash or other alternative is available. The prize may not be claimed by a third party on your behalf. The Promoter does not accept any responsibility if you are unable to take up the prize.

5.3 The lead contact on the submission form will be awarded the prize by Electronic Bank Transfer and will take full responsibility for the management of the budget, to include frequent updates to the festival team on the progress of the budget and the development of the installation.

6. NOTIFICATION OF WINNER

6.1 The Promoter will endeavour to notify the winner on or around 14th May. If the winner does not respond to our notification in a timely manner to progress the project, the Promoter reserves the right to withdraw prize entitlement and the prize will be forfeited and an alternative winner will be selected. Upon prize forfeiture, no compensation will be given.

7. OTHER CONDITIONS

7.1 By participating in the competition, you agree to indemnify and hold harmless the Promoter and its representatives, prize providers and their respective employees, associated agencies and companies, anyone professionally connected with this competition, from any liability for any loss (including, without limitation, indirect, special, or consequential loss), expense or damage which is suffered or sustained (whether or not arising from any persons negligence) in connection with any breach by you of these terms and conditions (including, but not limited to, in connection with any breach by you of paragraph 8.3 of these terms and conditions).

7.2 The Promoter reserves the right to cancel, terminate, modify or suspend this competition without prior notice in the event of circumstances arising beyond its control that makes it necessary to do so.

7.3 The Promoter reserves the right to disqualify any person it finds, in its sole discretion, to be tampering with the operation of the competition, or to be acting in breach of these terms and conditions and/or in any way that is inconsistent with the spirit of the competition.

7.4 The winner will be required to participate in publicity arranged by the Promoter or its agents.

7.5 Insofar as is permitted by applicable law, neither the Promoter, its representatives, prize providers nor their respective employees, associated agencies and companies or anyone professionally connected with this competition, will in any circumstances be responsible or liable to any entrant and/or the winner in connection with this competition. Without prejudice to the foregoing generality, and insofar as is permitted by applicable law, neither the Promoter, its representatives, prize providers nor their respective employees, associated agencies and companies or anyone professionally connected with this competition accepts any liability for any loss, damage, personal injury or death occurring as a result of the winner taking up the prize. Your statutory rights are not affected by this paragraph.

7.6 These terms and conditions will be governed and construed in accordance with the laws of Republic of Ireland and you agree that any disputes arising out of or in connection with these terms and conditions and/or the competition will be subject to the jurisdiction of the Irish Courts.

8. INTELLECTUAL PROPERTY RIGHTS

8.1 By submitting your competition entry and any accompanying material, you agree that, in the event that you are the winner of the competition, you hereby (with effect from the date of submission of your competition entry): (a) assign to the Promoter all your intellectual property rights with full title guarantee; and (b) waive all moral rights, in and to your competition entry and otherwise arising in connection with your entry to which you are or at any time in the future may be entitled under the COPYRIGHT AND RELATED RIGHTS ACT, 2000 as amended from time to time and under all similar legislation from time to time in force anywhere in the world. These Terms and Conditions shall be governed by the laws of Ireland and subject to the jurisdiction of the Irish Courts.

 

8.2 If you are the winner of the competition, you agree that, if requested by the Promoter, you will take such steps and actions (including, but not limited, the signing of relevant documents) as the Promoter may reasonably request in order to ensure that the Promoter receives the full benefit of the assignation set out in paragraph 8.1 of these terms and conditions.

8.3 By submitting a competition entry, you represent, warrant and undertake to the Promoter that your entry: (a) is exclusively your own work and does not comprise or incorporate any copyright or other intellectual property rights owned by any other person; (b) is not defamatory or immoral; and (c) does not infringe any third party rights and/or any agreements to which you are a party.

8.4 By submitting your competition entry and any accompanying material, you agree that, in the event that you are the winner of the competition, the original installation piece cannot be presented at another event / festival / exhibition. The Artist may re-use the materials and store the materials, however the original design will be exclusive to the Promoter’s events.

9. YOUR INFORMATION

9.1 The Promoter will process information about you in accordance with its Privacy Policy.

9.2 If you are the winner of the competition, you agree that the Promoter may use your name, and image to announce the winner of this competition and for any other reasonable and related promotional purposes.

9.3 By entering the competition, entrants agree to their information (name and email address) being held by MINI and Body&Soul for future promotional purposes and agree to be contacted again in the future.
